Set an AI-off default for sensitive 1:1s before Teams' September toggle arrives

Before Teams adds a live Meeting AI toggle, set a standing rule: sensitive 1:1s run AI-off, operational meetings can run AI-on.

Count the hours you spend in recurring 1:1s you never reread. The invite says the same thing every week, the agenda has not changed, and the room has become a standing assumption. Now add a new control that can change what is captured in that room.

Microsoft Teams is scheduled to begin rolling out a live Meeting AI toggle for licensed organizers and presenters in mid-September 2026. The targeted release is scheduled to complete by late September 2026. Microsoft Teams will place the Meeting AI control in the meeting toolbar for scheduled meetings. That gives you a short window to decide what should be off before the control arrives.

Organizers and presenters with the right licenses can control Meeting AI in real time, covering Copilot, Facilitator, and recap. When Meeting AI is turned off in Microsoft Teams, recording and transcription are disabled. Microsoft Teams will show participants an AI status indicator that indicates whether Meeting AI is active. Existing tenant policies and compliance controls will still be respected when Meeting AI is changed during a live Teams meeting.

Beginning transcription in Microsoft Teams causes Meeting AI and recap to be enabled automatically. The announcement should name that risk, not assume the setting will hold.

For managers, performance reviews and ongoing verbal feedback are the top tools for improving employee performance and business results. A useful performance review must be specific to the employee's actual work and remain focused on the work and workplace rather than drifting off track. Sensitive 1:1s need a default that protects the conversation before anyone has to remember it in the moment.

Effective discussion planning requires deciding the format, the questions to ask, and how all participants will take part. An AI default is part of that format. It tells the other person what they can expect before they say the first sentence.

Set the default before the meeting starts

Do not ban AI from every meeting. Stop making a privacy decision in the first minute of a conversation. The calendar is already full of recurring invites nobody reviews, so the default has to be set in advance, not remembered under pressure.

  • Flag every recurring 1:1, compensation, performance, and coaching invite as AI-off.
  • Add the one-line announcement to each flagged invite.
  • Keep a short list of operational meetings that can run AI-on.
  • Ask IT whether your tenant already limits Meeting AI; Microsoft Teams will display the Meeting AI toggles only when the tenant's policy allows Meeting AI.
  • Put a recurring review on your calendar for recurring invites.

Announce the default in one line

A default only works when people know it is a default. Put the same sentence in the invite, in the first line of the chat, or in the calendar note. The sentence should be short enough to read while the meeting is still loading.

AI is off for this 1:1 by default; if you need it on, say so before we start.

That line makes the default a standing decision and gives the other person a clean way to ask for a change. They can ask for a summary before the meeting starts, not after they have already said something they would not want captured.

Use the same tone with a peer. Make the default sound like protection, not suspicion, with a direct report. Keep the wording identical across invites so the norm is easy to spot.

Cancel the invites that no longer earn their place

When a recurring invite has stopped earning its place, cancel it with a plain sentence: this meeting no longer has a clear owner, a clear outcome, or a clear reason to repeat. Send that sentence now, then remove the invite.
